The Operations Supervisor plays a pivotal role in the success of the records department. This position is responsible for overseeing daily and weekly operations for their assigned team, ensuring tasks are executed efficiently, accurately, and in alignment with department goals. The Supervisor leads by example, managing performance, coaching team members, fostering a positive team culture, and ensures operational excellence.


The Breakdown

  • Lead, manage, and hold individual team members accountable.
  • Create daily and weekly operational plans to ensure our clients are fully supported; ensures department goals are successfully achieved.
  • Develop team members, provide ongoing coaching and conduct regular 1:1 performance meetings.
  • Recognize and resolve workplace issues promptly, including process inefficiencies and conflict resolutions.
  • Monitor performance and other trends with direct reports and provide timely feedback.
  • Administer disciplinary actions and terminations in accordance with Company policy, when necessary.
  • Identify training needs and collaborate with Operations Leadership Team on individual development and improvement plans.
  • Receive all escalated records-related issues that Records Specialist and Records Support team members cannot resolve.
  • Execute core processes and provide recommendations on changes to Director of Operations.
  • Ensure service is being delivered to the highest quality standard.
  • Provide regular updates and reports on performance, goal attainment, and any operational challenges to Director of Operations.
  • Support the Director of Operations in planning and organizing quarterly and monthly activities related to operations, department efficiency, and employee events.
  • Foster team collaboration and success by being a champion of culture.
  • Conduct interviews and make hiring recommendations.
  • Attend quarterly plannings and complete department goals.
  • Other duties as assigned.
Qualifications & Required Competencies
  • Education. Bachelor's degree required, or equivalent combination of education and related experience required.
  • Experience. 3-5 years of experience in a supervisory or leadership role. Prior experience with EOS operating system preferred, but not required.
  • Problem-Solving: Ability to identify issues and implement solutions. Excellent analytical and problem-solving skills.
